Three things to know before editing

Most content changes are simple and can be made safely from the WordPress dashboard. Take your time, preview larger changes and avoid deleting layout blocks unless you know what they control.

01

Add /wp-admin to your website address and enter the login details supplied when your website was handed over.

02

Choose your content

Use Pages for permanent website content and Posts for news, updates or blog articles. Your site may also have an Events section.

03

Preview and update

Use Preview for substantial changes. When you are happy, select Update for existing content or Publish for something new.

Everyday changes

Editing pages, images and links

Tap or click a guide to open it. The wording in your dashboard may vary slightly depending on your website and the version of WordPress being used.

Editing text on an existing page
  1. From the dashboard, go to Pages → All Pages.
  2. Find the page you want and select Edit.
  3. Click directly into the paragraph or heading you want to change.
  4. Edit the wording. The small toolbar lets you add bold text, links and other basic formatting.
  5. Select Preview if you want to check the change first.
  6. Select Update to save the live page.
Good to know: Keep headings short and use normal Paragraph blocks for longer text. Check important edits on both desktop and mobile.
Replacing an image
  1. Edit the page and select the image you want to replace.
  2. Choose Replace in the block toolbar.
  3. Select an existing image from the Media Library or upload a new one.
  4. Add a short description in the Alternative text field when the image conveys useful information.
  5. Check the crop and alignment, then select Update.
Avoid uploading enormous photos. Large files make pages slower. A well-sized JPG or WebP is usually best for photographs; PNG is more suitable for graphics that need transparency.
Changing a link or button
  1. Select the linked text or button.
  2. Choose the link icon in the block toolbar.
  3. Paste the full destination address, including https://.
  4. Use the option to open in a new tab when linking to a different website or a document.
  5. Save the link and select Update.
Always test the link on the live page after saving, particularly for booking forms, email addresses and downloads.
Uploading a PDF or document
  1. Give the file a clear name before uploading it.
  2. While editing the page, add a File block using the + button.
  3. Upload the file or select one from the Media Library.
  4. Change the visible link text so it clearly describes the document.
  5. Choose whether to show a Download button, then select Update.
Replacing a document? Upload the current version and update the link. Remove old files only when you are certain no other page links to them.
Adding a new page
  1. Go to Pages → Add New.
  2. Enter a clear page title.
  3. Use the + button to add Paragraph, Heading, Image and other blocks.
  4. Save it as a draft while working, then preview it.
  5. When ready, select Publish and confirm.
Publishing does not always add the page to your menu. Menus may be managed differently on each website. Ask Hex Web Design if you want a new page added to the main navigation.
Using the Media Library

Go to Media → Library to view images and documents already uploaded to the website. Select an item to see its filename, title, alternative text and file address.

Helpful image habits

  • Use meaningful filenames before uploading.
  • Do not upload the same image repeatedly.
  • Use landscape images for banners and featured images unless your layout needs another shape.
  • Add useful alternative text for accessibility; do not stuff it with keywords.

Fresh content

Adding posts, news and events

New content should be easy to scan: use a clear title, short paragraphs, helpful headings and one strong featured image.

Adding a news or blog post
  1. Go to Posts → Add New.
  2. Add your title and write the article using content blocks.
  3. Choose a relevant Category if your website uses them.
  4. Add a landscape Featured image in the post settings.
  5. Check the permalink, preview the post and select Publish.
Editing an existing post: go to Posts → All Posts, choose the article, make your changes and select Update.
Adding or editing an event

If your website has an event system, you will usually see Events in the dashboard menu.

  1. Go to Events → Add New, or open an existing event to edit it.
  2. Add the event title, description, date and time.
  3. Add a venue, location, booking link and image where required.
  4. Preview the event and confirm the date and time are correct.
  5. Select Publish or Update.
Event tools vary between websites. Recurring events, ticket sales and booking systems may have extra settings. Contact us if the options on your site differ from this guide.
Choosing a featured image

A featured image is the main image associated with a post or event. It may appear on listing pages, search results and social media previews.

  1. Open the post or event settings panel on the right.
  2. Find Featured image.
  3. Upload or choose a clear, relevant landscape image.
  4. Add appropriate alternative text and save the post.
Try to use a consistent image shape across similar posts. Avoid images containing tiny text, as it may be unreadable on mobile.
Basic SEO when publishing
  • Write a specific page or post title that explains the subject.
  • Use one main heading and break longer content into descriptive subheadings.
  • Write naturally for visitors; do not repeat keywords unnaturally.
  • Add internal links to useful related pages on your website.
  • If Yoast SEO is available, write a clear SEO title and meta description.
Yoast scores are guidance, not a requirement. Useful, accurate content for real visitors matters more than forcing every indicator to turn green.

Publish with confidence

Draft, preview, publish or update?

These options sound similar, but they do different jobs.

Save draft

Saves unfinished content privately. Visitors cannot see it yet, so you can return and finish it later.

Preview

Lets you check how changes should look without publishing them. Use desktop, tablet and mobile previews where available.

Publish / Update

Publish makes new content live. Update saves changes to content that is already live on the website.

If you make a mistake
  1. Before saving, use the editor’s Undo arrow or press Ctrl+Z (Cmd+Z on a Mac).
  2. If you already saved, look for Revisions in the page or post settings.
  3. Compare an earlier revision and restore it only when you are sure it is the correct version.
  4. If the layout has broken or you cannot recover it, stop editing and contact Hex Web Design.
Do not keep making random changes to fix a broken layout. The earlier you stop, the easier it usually is to identify and reverse the original change.
WordPress and plugin updates

You may see dashboard notices for WordPress, plugin or theme updates. Updates are important, but they can occasionally affect the way a site works.

  • Make sure a current backup exists before important updates.
  • Do not update or delete plugins you do not recognise.
  • Check the main pages and forms after updating.
  • If your care or hosting service includes maintenance, leave updates to us.

Protect your layout

What is safe to edit?

Your site uses WordPress blocks and may include GenerateBlocks Containers and Grids. You can safely change everyday content inside them, but the surrounding blocks control the design across different screen sizes.

Usually safe

  • Editing existing text and headings
  • Replacing an image with a similar-shaped image
  • Updating links, dates and contact information
  • Adding posts, news and normal event content
  • Saving drafts and previewing changes

Ask before changing

  • Deleting or moving Containers, Grids or whole sections
  • Changing advanced spacing, width or responsive settings
  • Removing plugins, themes, users or menu items
  • Editing code, CSS, templates or site-wide settings
  • Deleting Media Library files used elsewhere
